Question / Issue
How do I create a Phone Based Mailing?

Answer / Solution
  1. Login to AgencyBuzz.
  2. Click on the Mailing button in the Create New section of the toolbar.
  3. Select Phone Based Mailing from the drop down menu.
    • The new mailing window will open.
  4. Type in the name of mailing into the Phone Script Name field.  This will be used to reference the mailing in the system.
  5. Select which Voice you would like your Mailing spoken in from the Voice to Speak In drop down menu.
    • You can sample the different Voices by selecting them from the Voice to Speak In drop down menu and selecting the Play icon to the right of the Voice to Speak In field.
  6. From the Commands menu at the top, select Add Commands.
  7. Choose from the following Commands to Add to your phone script:
    • Label - This is to direct Button Press Events to different menus or Commands. You can segment different parts of your Phone Based Mailing into to different menus. They will not be spoken to the contact, but they will used by the system to direct the contact to different menus they select. Example - Main Menu, Make Payment, etc. Make sure a label has a Button Press Event.
    • Button Press Event - Select which button you would like to designate as a command in the Pressed Button drop down menu. From the Go To Label drop down menu, select which action you would like to take place with the press of this particular button. Put the Button Press Event BEFORE the Say Text you have the voice say to tell the contact what each button does. 
      • Note: Pressing 0 is automatically set up to direct the contact to the main phone number if one has been entered for your agency.
      • Note: Pressing 9 is automatically set up to opt the contact out of future phone calls.
    • End Call - Select End Call to make the phone script end.
    • Play Sound - To Add Sounds to Play during your Phone Script, select the Plus Sign Icon or Add Sound Button to the right of the Sound to Play drop down menu. From here, you can
      • Choose a file from your computer by selecting Choose File. Select Add.
      • Choose Call Me To Add Sound to Add Sound From Call. Input the phone number you want AgencyBuzz to call in the Phone field. Name this sound that will be recorded in the Sound File Name field. Select Add.
      • Choose from Available Sounds already in your Sound Library. Select Add.
    • Say Text - Type in the Text field what you would like the Voice to say to your audience.
    • Transfer To - Input which Phone Number you would like the caller transfered to in the Phone Number field.
    • Seconds to Wait for Button Press - Select from the Wait Time in Seconds drop down menu how many seconds you want the script to wait for a Button Press response.
    • Go To - Select which Label (out of Labels you've already created) you would like to transfer the caller to.
    • Clear Button Press Events - When the contact selects a button and is moved to a different menu, put a Clear Button Press Events Command at the top of the new menu options to disregard Previous Button Presses not relevant to this menu.
  8. As you add commands, they will appear in the large white box under the Voice to Speak In drop down menu. You can arrange the commands by selecting the Up Arrow Icon to move a Command Up, Down Arrow to move a Command Down, and the X Icon to Delete a Command.
  9. When you have arranged the phone script as you would like it, click the Test Script from the Commands menu at the top of the window and type in the phone number you would like AgencyBuzz to call to hear and test the Script.
  10. When you are satisfied with the Phone Script, select Save or Save and Close from the Actions menu.
